NSCS Grayfox TWR 825 Accomplishments - 2014

The following is a summary of some of the accomplishments for the NSCS Grayfox TWR 825, The Grayfox Association in 2014 during this transition year.

 ADMINISTRATION AND ORGANIZATION
  • The Grayfox Association was formed on February 3, 2014 as an incorporated non-profit 501 C3 association; filed with the IRS and State of Michigan. This supersedes the former non-profit organization.
  • New organization with new EIN established on January 22, 2014
  • Organization USPS mailbox and phone number established in February 2014
  • Grayfox accounts updated with the USPS organization address and contacts
  • Created a website in March and commenced loading website
  • Created ship email account
  • Created ship online document library
  • Joined the Bluewater Chamber of Commerce in Port Huron
  • USCG ship visit on February 19 to begin USCG certification process
  • NSCS Grayfox registered with National Vessel Documentation Center
  • Registered with the Combined Federal Campaign, March 2014
  • Obtain Board of Directors Liability Insurance
  • Prepared more than 10 Standard Operating Procedures (SOP)
  • Gary Irons and Andy Anderson retired from Grayfox support. Several new crew recruited for engineering, deck, galley, operations, and training
  • Reorganized and recruited 5 new members to the volunteer NSCC Grayfox Division
  • Created a Welcome Aboard package

 FINANCE
  • Grayfox past finances gathered, organized, and reviewed
  • Griffin Accounting contracted for record keeping and taxes
  • Available finance records and bank statements from 2010-2013 were used to create expense spreadsheets for 2010-2013
  • Finance Committee created chart of accounts and budget worksheet
  • Gary Irons and Brian Eickel elected as Co-Treasures
  • 2014 Budget created
  • Board of Governance approved 2014 budget in January 2014.
  • Vendor accounts updated with new organization information
  • Through the year, proper accounts with the new Grayfox Association (NSCS Grayfox TWR 825) have been established with Talmer Bank, Michigan Petroleum, DTE, US Postal Service, USLI Insurance (Directors insurance), Marcotte Disposal, Dyck Security, and Paypall
  • Additional vendor accounts have been established with Sams Club, Gordon Food Service, Home Depot, Caterpillar, Bluewater Chamber of Commerce
  • Dave Richmond prepared financial spreadsheets of actual expenses for the Sea Cadet training completed. The objective is to baseline the actual cost for an 8 day training event.
  • A ledger of all expenses was created
  • A training and cruise budget and reporting worksheet were created
  • New accounts established with Talmer Bank. Treasurers and accountant were set up with online bank access and billpay.
  • Electronic billing set up with vendors
  • Paypall account setup for contributions
  • Financial records from 2011, 2012, and 2013 were gathered and sent to Griffin Accounting to prepare the IRS 990 tax reports.
  • The IRS 990 long form was completed and filed on for the years 2011, 2012, and 2013
  • Website created with donation page
  • Prepared completed sample of NSCC finance reporting forms
  • An audit of the Grayfox 2013 finance was completed in May 2014
  • The Grayfox Association final non-profit determination status was received and dated September 2015. The former non-profit organization USNSCS Grayfox TWR 825 will be sunset with the future reporting of the new organization.
  • The request to be registered as a Charitable organization has been submitted to the State of Michigan Attorney General in October 2014
  • A fund raising package has been created for the Grayfox

 SHIP
  • Work project plans completed for ship work repair, pier project, USCG certification, and dry dock
  • Inventoried and scanned more than 200 Grayfox drawings
  • Sherriff dive team completed video and photos of the hull, April 2014
  • Identified Naval Architect and support for ship measurements for certification
  • Ship cleaned up during May; galley, berthing, bridge, engineering, Seaway Terminal warehouse, organized Sea Cadet uniforms, linens, inventories
  • Work repairs commenced and maintenance plans established
  • Established ship log books
  • Emptied and sanitized Captains cabin
  • Emptied and sanitized Chief Mate cabin
  • Tested all ship navigation equipment
  • Tested and repaired all ships lighting
  • Tested and serviced ship batteries
  • Laundered and sanitized all blankets and linens
  • Constructed new wooden brow with help from Navy Chiefs
  • Cleaned and stowed gear in Line locker
  • Created Supply and Inventory records and commenced complete inventory
  • Inventoried all paint and supplies
  • Cleaned and inventoried Bos�n locker
  • Cleaned and inventoried electrical closet
  • Cleaned and sanitized galley
  • Labelled all circuit breaker boxes
  • Cleaned and sanitized Bridge
  • Conducted electrical repair blitz and repaired more than 20 discrepancies
  • Cleaned and serviced outside grill
  • Constructed new top for the life jacket locker
  • Established account with Michigan Caterpiller
  • Removed and repaired Fire Pump No 2 main
  • Tested and charged York AC compressor
  • Removed and serviced port engine heat exchanger
  • Repaired Male Head toilet, shower, and fixtures
  • Cleaned and sanitized Female Head
  • Tested compressed air lines and fixtures
  • Tested and inventoried all firefighting equipment and gear
  • Inventoried and tested all Damage Control Equipment
  • Tested all ship heaters
  • Obtained 24 ft Searay boat, tested and operated
  • Removed barge from water, preserved and painted

 PIER PROJECT
  • Ship pier raised and new deck installed in May 2014
  • Grayfox Shed cleaned and removed, shed material stored in Seaway terminal warehouse
  • Buoys moved to Maritime pier in October

 TRAINING
  • Sea trials completed April 2014, practiced docking, training Captains
  • Cruise to Detroit for Navy League Sunday, April 27-28
  • Ship participated in Port Huron Tourist in Your Own Town in June with 300 visitors
  • Created training syllabus for summer training
  • Gathered and organized Cadet training materials, loaded to online cloud
  • Loaded essential training plans on website
  • Ship conducted NSCC Summer training June 28 � July 7
  • Completed training exercise with US Coast Guard
  • Conducted training at USCG Station Port Huron
  • Ship conducted NSCC Summer training August 23-31
  • FC Sherman Div NSCC completed training in January, February, September, October, November, December
